Tell me what you're trying to sort out — books, a website, or something that sits across both. The messy version is fine: working out the shape of the problem is part of the job.

What's useful to include
For bookkeeping: what the business does, roughly how many transactions a month, what software the books are in now, and whether they are current or need catching up. If you don't know the answer to any of those, say so — that is itself a useful answer, and it tells me where to start.
For web development: what the thing needs to do, who will be using it, and whether something already exists that has to be replaced or kept running alongside it. A link to what you have now is worth more than a specification.
And if it sits across both, or you're not yet sure which it is, that's a normal way for an enquiry to start.
What happens next
I read it and reply within one working day, usually the same one. If it looks like something I can do, the next step is a short call to work out the scope — no charge, and no obligation on either side to continue after it. If it isn't something I do, I'll say so plainly and point you somewhere better rather than take the meeting anyway.
Or send it here
Whichever service line it's about — or neither, if you're not sure yet.
